AI automation & assistants

Let AI do the busywork.

If your team answers the same questions all day or retypes data between tools, we build the assistant or automation that does it. Then we host and watch it so it keeps working.

What does an AI automation cost for a small business?

AI assistants and automations start at $14,900 as a fixed price. That covers mapping the job, building and testing it on your real questions, connecting your tools, and hosting it. The price rises with the number of tools, channels and rules involved. You get the exact figure in writing after a free call.

What changes when the repeat work is automated

all of it, one invoice

What’s included in the price

  • A map of the jobs worth automating, and the ones that aren’t
  • Customer-facing assistants for your site, WhatsApp or in-app chat
  • Automations between your CRM, calendar, email, sheets and payments
  • Built on Claude or OpenAI models, with your data kept private
  • A dashboard of conversations, with a hand-off to a human
  • Hosting, monitoring and monthly tuning

How it works, stage by stage

We start with one job, not a big plan. When that job works and your team trusts it, we add the next one.

  1. Map it

We look at where your team spends its time and pick the one job worth automating first. We also tell you which jobs are not worth it.

  2. Teach it

We feed it your real questions, documents and rules, then test it against them. It answers only from what you gave it, and says so when it does not know.

  3. Build it

We connect it to your tools and put it in front of a few real customers or staff. Every answer is logged so you can check it.

  4. Launch it

It goes live with logging and a hand-off to a person. We host and monitor it and tune it every month as your questions change.

What a $14.9k starting price covers

The starting price is for one working assistant or automation, tested and live. Here is what is inside it and what moves it up.

In the base price

  • A map of your jobs and the first one chosen
  • One assistant or automation, built and tested on your real questions
  • Connections to the tools in the plan
  • Logging, a conversation dashboard and a hand-off to a person
  • Hosting, monitoring and monthly tuning

What adds cost

More tools to connect
CRM, calendar, email, sheets and payments each need their own link and tests.
More channels
Your website, WhatsApp and in-app chat each work a little differently.
More rules and documents
A long price list, strict policies or many products take longer to teach and check.
Sensitive data
Health, finance and children’s data need extra care, logging and review.

Not in the price: the model usage bill from Anthropic or OpenAI, which goes to your own account. At starting scale it is usually $10 to $200 a month, depending on volume. See the full cost breakdown.

How to choose: freelancer, studio or agency

An AI assistant needs someone to check it and tune it after launch. A studio that hosts and monitors it means that job does not fall on your team.

A freelancer

Cheapest way to connect one tool to an AI model. The weak spot is after launch: who checks the answers, fixes it when a model or an API changes, and watches the cost?

Good for a small, one-off automation you can watch yourself.

A studio like Bytecrest

One team maps the process, builds the assistant, tests it on real examples, hosts it and monitors it. The tuning after launch does not fall on your team.

Good if you want it to keep working without a technical person.

An agency

Data teams, consultants and long discovery phases, priced for large companies. Often more than a first automation needs.

Good if you have many systems, strict compliance or a long programme.

Who this is for, and who it isn’t

We’re a good fit if

  • Your team answers the same questions every day
  • Data gets retyped between tools
  • You want AI that is checked and maintained, not a demo

We’re probably not if

  • You want to train your own AI model from scratch
  • There is no repeated task to automate yet

Example workflow: a booking enquiry on WhatsApp

This is an example of the kind of workflow we build. It is not a client result.

  1. A customer messages

The assistant answers from your price list, opening hours and policies, in your tone.

  2. It asks what it needs

Name, service, preferred day. It asks one question at a time.

  3. It checks the calendar

It finds a free slot and offers two options.

  4. It books and records

The booking goes into your calendar, the customer into your CRM, and a confirmation goes out.

  5. It hands off when unsure

If a question is not in your documents, it says so and passes the chat to a person with the history attached.

Every message in this flow is logged, so you can read what the assistant said and correct it.

Talk through one workflow

Closest proof: an AI product we have shipped

All work

Myaigi is a consumer app, not a business automation, but it is the closest shipped example of our AI work. You tell its sensei a goal, it writes a 21-day plan, and it books the sessions into your calendar. We designed the app and built the AI coaching backend.

Questions from business owners and ops leads

Something else? Ask on the free call.

Q. Which AI models do you use?

We pick per job, usually Anthropic’s Claude or OpenAI’s models through their business APIs, where your data isn’t used to train them.

Q. What if the assistant gets something wrong?

It answers from your documents only, says when it doesn’t know, and hands off to a person. Every conversation is logged so you can correct it.

Q. Do I need a developer to run it?

No. We host and monitor it for you, and you change its knowledge by editing documents, not code.

Q. Which job should we automate first?

The one your team repeats most and that has a clear right answer, such as booking questions, order status or lead follow-up. We pick it with you on the free call.
